Description:

Work closely with the Transportation Manager, Supervisor and HR by maintaining organizing and reviewing Lancaster DOT records, routing and other databases, performs complex and confidential administrative duties to ensure the smooth flow of Operations and Transportation.  Reports to Transportation Manager. 

Duties:
  • Organize, track and file Department of Transportation time-sensitive documents.
  • Collect, review and file drivers' manifests and trip logs and have any errors repaired by drivers or violations reported to the Transportation Manager immediately for corrections
  • Review drivers' hours of service based on current Department of Transportation regulations by utilizing time card system, driver logs / manifests, receipts and any other information available.
  • Collects, reviews, and files driver Vehicle Inspection Reports (DVIR).  Ensure DVIR's are turned in daily and filed in a timely fashion.
  • Collects, reviews and files State driver/vehicle examination reports.
  • Compare time Cards to trip logs for discrepancies.
  • Review time card reports for over fourteen (14) consecutive working hours, and less then ten (10) hours consecutive hours off duty.
  • Accounts for invoices, pallet amounts and tracks returns by drivers including verification by receiving.
  • Weekly reporting to include, but not limited to, weekly scorecard of driver hours and exception reports
  • Reviews routes and manifests/trip logs to note any anomalies and report them to the Transportation Manager for further review, action, and correction.
  • Hand out and record acceptance of written company information that is given to employees.
  • Maintain a data base of all Department of Transportation paperwork that is collected, reviewed, and filed daily.  Review daily with Transportation Manager to ensure compliance with all Federal, State, Local and Company laws, policies, and procedures. 
  • Route vehicles for loading by examining weight/pieces/cube/destination and delivery times, as well as overall time and distance.
  • Act as transportation liaison with buyers and Sales on product issues.
  • Assist Transportation Manager and Supervisor with driver check in and check out procedures as well as product pickups and dispatch. 
  • Handle typing, copying, filing and faxing and answering phones.
  • Maintain and update computerized file of driver directions. Utilize Map Quest and customer information to obtain directions and format to template for the Transportation Manager's review.
  • Respond to employee questions and/or concerns and training requests
  • Maintain total confidentiality of all activities, including written and oral communication, both internally and externally.
  • Must work safely at all times and comply with all safety policies and procedures.
  • Maintain cleanliness of work station and warehouse.
  • Comply with Lancaster Foods LLC policies and procedures.
  • Perform other duties as assigned.
Qualifications:
  • HS Diploma or equivalent.   Must be able to demonstrate satisfactory written and oral communication skills
  • A minimum of two to three years of transportation experience preferred.
  • Proficient with Microsoft Office applications (Word, Excel, and Outlook). Must demonstrate proficient PC Skills to include UPS Roadnet knowledge, or similar computer routing software required.
  • Minimum one year experience routing in the Mid-Atlantic Region. 
  • Ability to occasionally lift and carry up to 50 pounds.
  • Must have own transportation.  Must be able to work a flexible schedule to include holidays and weekends.
Must be able to, with reasonable accommodations, lift and carry up to 50 pounds, handle multiple tasks, handle high pressure situations, work independently, follow up and meet deadlines, work in temperatures, which range from 28-90 degrees, work in a wet, damp and dusty environment and have the ability to read and understand warehouse documents. 

Scheduled shift out times may vary and will be addressed at the beginning of the shift or as soon as it is known.  Due to the shift workload, the employee may be sent home earlier or later than scheduled.   All efforts will be made by management to notify the employee as early as possible regarding the shift change.  It is the responsibility of the employee to make any necessary adjustments to accommodate the shift change.
